State Admin

A State Admin is authorized to configure and update role permissions for other user levels – district and block. Their role also entails setting up schedulers for the campaign cycle, lottery rounds, SMS triggers and disbursing reimbursements to school’s accounts.

Login:

The user is required to follow a two step login process:
Step one: Enter username and password.
Step two: enter Captcha.

The state admin can perform various tasks – location information, language information, user accounts, academic sessions, and lottery and allotment information, etc. through the top panel menu.

1. Master Entry

The master entry module allows the state admin to manage locations, language, block and district users, along with allowing them to define the academic cycle, reimbursement configuration and fees within their state. A number of sub-modules under Master entry enable these functions. 

  1. Add/Modify language – to enable the user to manually translate labels, words and messages in their regional/preferred language on the platform for all users within their state.
  2. Add location –  to allow the user to upload multiple locations (district – block – GP – ward – habitation) at once, through bulk upload.
  3. Location (Create / Update / Delete) – allowing users to add a single location by providing details like – name, language, relationship with a parent location (District > Block) on the screen.
  4. District or Block Admin (Create / Update / Delete) – State admins can create accounts for both District admins and Block admins. 
    • District – one account can be created per district.
    • Block – allowing multiple accounts creation for block admins because they often handle multiple tasks concurrently and may need to authorize various operators for the same work.
  5. Create / Modify Academic cycle – enabling the user to create academic sessions for different types of events (listed below), with multiple rounds and timelines within an academic year.

    10. Reimbursement
  6. Reimbursement Configuration – allowing the users to configure reimbursement rules, like how many years reimbursement is allowed, approval levels and who is the approving authorities. Also, whether or not the schools will be allowed to apply for reimbursements for supplementary items like – uniform, books, etc. 
  7. Create/modify state reimbursement fees – allowing the state admin to publish state reimbursement fees by school board type and the school level. This allows the state to define fee structure for schools within their state.
2. School Information

The state admin will have access to information for all schools in their state. They have the permission to review the schools registration and reimbursement claims. 

  1. All Schools – the state admin has visibility to all schools within the state, along with the UDISE codes and registration review status. This module also permits the state admin to add new schools directly through bulk upload.
  2. Neighborhood Mapping Status – this module allows users to see the neighborhood mapping for all schools by applying filters of district, area type etc.
  3. Review Schools Registration – allows the state admin to view schools registration approval status and more details of the schools.
  4. Review Reimbursement Claims – allows the state admin to review and monitor the reimbursement claim status of schools.
3. Students 

The students module allows the user to view details of all students in the state and take necessary actions where required.

  1. All Students – the module gives access to a list of all student applicants and the status of their application.
  2. Student Review Status – allows the user to view students details and take action on pending applications. 
4. Reports

The reports module will give access to statistics on students and schools.

  1. Allotments Reports – this module provides access to lottery results in the state. The State admin can filter the list of students allotted schools in the admission cycle by applying filters. 
  2. School Admission Reports – shows district wise admission status of all applications.
  3. School Information Reports – shows district wise counts of all registered schools against registration status.
  4. School Registration Reports – 
  5. School Mapping Reports – shows neighborhood wise details of all schools.
